General AI tools can help you write evaluation comments — but they still leave you doing most of the work.
You have to craft prompts, align feedback to your evaluation framework, interpret rubric levels (like what actually separates a 2 from a 3), and make sure everything is consistent across teachers. The result? Outputs that vary depending on how you prompt it, which creates extra work and potential inconsistencies in something that needs to be fair, aligned, and defensible.
EvalScribe was built via a patent-pending design specifically to handle that entire process. It takes your raw walkthrough notes and automatically aligns them to your specific framework (which has been hardcoded into the app), applies consistent rubric-based scoring, and produces evaluation-ready language every time — no prompt engineering required.

Additionally, there is the security element. Whatever you put into a general AI platform may be used to train their models and could be exposed to other users. EvalScribe, however, is built on the same privacy-first framework used in the healthcare and finance industries to protect your data. Your data is not saved to our servers, used to train models, or sold to third parties. Additionally, it uses a transient memory protocol that wipes all data at the end of each session.
Absolutely not. EvalScribe is a drafting assistant, not a decision-maker. The app analyzes your notes and suggests alignment to standards based on the rubric, but you (the Administrator) are the "Human in the Loop." You review every score, edit every comment, and make the final determination before the document is finalized.

You are. EvalScribe provides a draft based on the evidence you collected. It is the administrator's responsibility to review, edit, and finalize the document before submission to state platforms.

It comes loaded with the major evaluation frameworks of all 50 states and Washington D.C., as well as general versions of "The Big 3" (i.e., Danielson, Marzano, Stronge), and others such as CEL 5D+, Kim Marshall, NIET, and more.

EvalScribe doesn't guess. It uses a Deep Framework Architecture trained on the corresponding evaluation framework. When you select your state's framework (e.g., Georgia TKES), the app loads the specific legal rubrics for that system and creates suggested draft scores by comparing your notes to that rubric.
If you disagree with the suggested score, you can revise it with a single click in the app.
Yes. The system logic is explicitly trained to recognize both Formal Assessments (quizzes, tests, projects) and Informal Assessments (exit tickets, questioning strategies, thumb-checks, board work). It credits these activities to the appropriate Assessment Standards automatically.
The technical side — devices, scanning, and connectivity.
EvalScribe utilizes the GPT-4o Vision Engine, currently one of the most advanced Optical Character Recognition (OCR) technologies available. It is specifically tuned for the educational context.
Context Awareness: Unlike standard scanners, EvalScribe understands classroom terminology. It is trained to recognize pedagogical terms like "differentiated instruction" or "formative assessment," even in messy handwriting.
Safety Protocols: The scanner is calibrated to be objective. It is programmed to transcribe verbatim without "softening" or sanitizing negative feedback, ensuring your documentation is accurate. No OCR scanner is 100% perfect, so you, the admin, also have the ability to quickly and easily edit transcriptions directly in the app.
EvalScribe is currently optimized for iPhone (iOS 16+), iPad, and macOS. EvalScribe is set up as a universal license, so when you subscribe you can use it on all three devices.

Yes. To perform the advanced OCR scanning and AI logic mapping, the app requires an active cellular or Wi-Fi connection.
How we handle your observation notes, district data, and student information.
No. This is our primary security commitment. Unlike free consumer tools (like ChatGPT) which may use your data to train their models, EvalScribe is built on Microsoft Azure OpenAI Service — an enterprise-grade infrastructure used by major banks and healthcare systems.
Transient Processing: Your data is sent securely to the engine, processed in memory, and returned immediately.
Zero Retention: Your observation notes and images are not stored on our AI servers, nor are they used to train future AI models.
We chose Azure because it provides among the highest levels of compliance and security in the industry. It ensures that your data remains your property.
We have configured our instance to opt out of all model training, ensuring complete data isolation.
EvalScribe V1.0 uses a Local-First Architecture. All data resides physically on your device.
We do not maintain a central cloud database of your teachers or evaluations. If you delete the app, the data is gone. This minimizes liability and ensures that sensitive personnel records are not sitting on a third-party server.
Data only leaves your phone when you explicitly choose to export the PDF via email, AirDrop, or saving to your cloud storage (e.g., Google Drive).
EvalScribe is an administrative tool designed for evaluating adults (teachers), not students. While student behaviors are often noted as evidence (e.g., "Students were on task"), the app is not designed to store educational records or PII (Personally Identifiable Information) of students.
As a best practice, we recommend administrators avoid using full student names in their observation notes.
