EvalScribe is built on a simple principle: your teachers' data is yours. We process observation notes only long enough to generate an evaluation, then we discard them. We do not train AI models on your data, and we do not sell or share your information.
This Privacy Policy explains what information we collect, how we use it, and the choices you have.

Information we collect
Information you provide
When you use EvalScribe, you enter the following information into the app:
- Teacher names you are evaluating.
- Observation notes, which may include text you type, audio you dictate, or photographs of handwritten notes.
- Framework selections indicating which state or district evaluation rubric to use.
- District access codes (if your district provides you with one).
- School name (optional, when redeeming a district access code).
Information automatically collected
When you use the app, we automatically collect:
- Anonymous subscription identifier generated by our subscription provider (RevenueCat) to track your subscription status. This identifier is not linked to your name or email.
- Apple In-App Purchase transaction records, processed by Apple and forwarded to our subscription provider to verify your subscription is active.
Information we do not collect
We want to be explicit about what we do not collect:
- We do not collect your name, email address, phone number, or any other personal identifying information unless you voluntarily provide it when contacting support.
- We do not collect device identifiers for advertising purposes.
- We do not collect your location.
- We do not collect data about other apps on your device.
- We do not use any third-party analytics services.
- We do not use any third-party crash reporting services.
- We do not use any advertising networks.
How we use your information
Observation notes
Observation notes you enter are sent to Microsoft Azure's AI services for the sole purpose of generating an evaluation based on your selected framework. Per Microsoft's published policy, customer data submitted to Azure OpenAI is not used to train, retrain, or improve Azure OpenAI foundation models, and remains strictly segregated and tied to our specific tenant.
Once an evaluation is generated, the observation notes and the generated evaluation are returned to your device. Neither the notes nor the evaluation are stored on our servers.
Generated evaluations
Generated evaluations are stored only on your device. We do not retain copies on our servers. When you export a PDF, that file is stored locally on your device until you share it.
Subscription data
We use your anonymous subscription identifier to verify your subscription is active when you use the app. We do not link this identifier to any personally identifying information.
District access codes
District access codes are generated by Apple on our behalf, and your subscription is activated through Apple's subscription infrastructure. EvalScribe does not process the subscription itself.
When a code is redeemed, we keep a record of:
- The anonymous subscription identifier of your install.
- The access code that was used.
- The school name you provided (if any).
- The date and time of redemption.
This lets us track how many seats have been consumed against each district's license and the subscription's effective dates. We have no visibility into what you do inside the app, and this record is not shared with the district administrator or with any third party.
How we share information
We do not sell your information. We share information only with the following service providers, and only to the extent necessary to operate the app:
- Microsoft Azure Processes observation notes to generate evaluations. Per Microsoft's published policy, customer data is not used to train Microsoft's AI models and is strictly segregated to our tenant.
- RevenueCat Manages subscription state. Receives the anonymous subscription identifier and Apple In-App Purchase receipts.
- Supabase Stores our internal licensing records when a district access code is redeemed. Receives the anonymous subscription identifier of the install, the code that was used, school name (if provided), and redemption timestamp. Does not process subscriptions or validate access codes — those are handled by Apple.
- Apple Processes in-app purchases through the App Store. Apple's privacy policy applies to that transaction.
We do not share information with advertisers, data brokers, or analytics companies.
Children's privacy
EvalScribe is designed for use by school administrators evaluating teachers. The app is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child under 13 has provided us with information, please contact [email protected] and we will delete it.
EvalScribe is not directed at students and does not collect student data. Teacher evaluation notes entered by administrators may incidentally reference students by name; we recommend administrators avoid including identifying student information in observation notes wherever possible.
FERPA and student data
EvalScribe is a tool used by school administrators to evaluate teachers. The app does not maintain student records, does not require student information to function, and does not store any data submitted to it on our servers.
For school districts that purchase EvalScribe through our B2B licensing program, we can provide a Data Processing Agreement and signed FERPA-aligned attestation upon request. Contact [email protected].
Your choices
Access and deletion
Because we don't store your observation notes or evaluations on our servers, there is nothing for us to give you or delete. The data lives on your device, and you control it.
If you want to delete your district access record from our database (i.e., end your association with a district code), contact [email protected] with your Support Code (found in Settings within the app).
Subscription management
You can manage or cancel your subscription anytime in your Apple ID account settings. We do not control the cancellation process; Apple does.
Security
We use industry-standard encryption (TLS) for all data in transit between your device and our service providers. Our service providers (Microsoft Azure, RevenueCat, Supabase) maintain SOC 2 Type II certification and use AES-256 encryption at rest.
No system is completely secure. We cannot guarantee absolute protection against unauthorized access.
International users
EvalScribe is operated from the United States. If you use the app from outside the United States, your information will be transferred to and processed in the United States. By using the app, you consent to this transfer.
California residents
Under the California Consumer Privacy Act (CCPA), California residents have certain rights regarding their personal information. Because EvalScribe does not store personal information on our servers, most CCPA rights do not have practical applications. However, you have the right to know what information we have collected and the right to request its deletion. Contact [email protected].
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will post the updated policy at this URL and update the "Last Updated" date at the top. Significant changes will be announced within the app.
